We are committed to protecting the privacy of every person who interacts with our Site. This Privacy Policy explains what personal information we collect, how we use it, with whom we share it, and what rights you have regarding your data.

By submitting a quote request form or otherwise providing your information to us through the Site, you acknowledge that you have read and understood this Privacy Policy.

Information collected automatically: We may collect standard web server log data, including your IP address, browser type, referring URL, and pages visited, for security and operational purposes. This data is not linked to your personal identity unless necessary to investigate a security incident. If Google Analytics 4 is active on the Site, additional analytics data may be collected as described in Section 6.

3. How We Use Your Information

We use the information you provide solely for the following purposes:

To respond to your quote request. Your name, contact information, and project details allow us to prepare and send you a relevant commercial proposal.
To send transactional email communications. We send a confirmation email when you submit a quote request and a follow-up email when we respond to your inquiry. These are transactional messages, not promotional campaigns.
To maintain our business records. We retain your contact information in our database to track the status of your inquiry and avoid duplicate entries if you contact us again.
To improve our services. In aggregate and anonymized form, inquiry data helps us understand market demand and improve our product offerings.

Service providers. We use third-party service providers who process data on our behalf under confidentiality obligations: Resend (resend.com) — email delivery service used to send quote confirmations and our replies. Railway (railway.app) — cloud infrastructure provider that hosts our PostgreSQL database. Google LLC — if Google Analytics 4 is active, Google collects analytics data as described in Section 6.
Legal requirements. We may disclose your information if required to do so by law, regulation, legal process, or governmental request, including to comply with a court order or subpoena.
Business transfers. If NOVAMOD Systems LLC undergoes a merger, acquisition, or sale of substantially all of its assets, your information may be transferred as part of that transaction.
Protection of rights. We may disclose information when we believe disclosure is necessary to prevent fraud, to protect the safety of any person, or to protect our legal rights.

We do not share, sell, rent, or trade your personal information with third parties for their own marketing purposes.

5. Data Retention

We retain your personal information for as long as necessary to fulfill the purposes for which it was collected and to comply with our legal obligations.

Quote inquiry data is retained for a minimum of three (3) years from the date of submission. Contact records are retained for as long as our business relationship is active or potentially active, and for a reasonable period thereafter.

If you request deletion of your data (see Section 7), we will delete or anonymize your information within thirty (30) calendar days, unless retention is required by applicable law.

6. Cookies and Tracking

Essential operation. Our Site does not place persistent tracking cookies on your device for its standard operation.
Admin session. Our administrative dashboard uses an encrypted, server-side session cookie solely for authenticating our administrators. This cookie is not set for regular Site visitors.
Google Analytics 4 (GA4). If activated, GA4 uses cookies and similar technologies to collect anonymized information about how visitors use our Site. This data is processed by Google LLC under their own privacy policy (https://policies.google.com/privacy). GA4 does not collect your name, email address, or the content of your quote request.

You may opt out of GA4 data collection by installing the Google Analytics Opt-out Browser Add-on (https://tools.google.com/dlpage/gaoptout), enabling "Do Not Track" in your browser settings, or blocking third-party cookies. We do not use advertising cookies, retargeting pixels, or behavioral tracking for marketing purposes.

7. Your Rights

Depending on your location, you may have the following rights regarding your personal information:

Access. You may request a copy of the personal information we hold about you.
Correction. You may request that we correct inaccurate or incomplete information.
Deletion. You may request that we delete your personal information, subject to legal retention requirements.
Objection. You may object to our processing of your information for legitimate interest purposes.
Portability. You may request your data in a structured, machine-readable format.

Our Site and services are intended for adults and business professionals. We do not knowingly collect personal information from children under the age of 13. If you are under 13, do not submit any information through our Site.
